FAQ

Nopsa in Brief

What is Nopsa?
Nopsa is an access control and time tracking system designed for construction sites. It enables the electronic management of employee and contractor information, working hours, occupational safety, and compliance with statutory obligations.

Who is Nopsa for, and what types of construction sites is it suitable for?
Nopsa is designed for main contractors, subcontractors, and other companies operating on construction sites. The system is suitable for both small and large construction and infrastructure projects, and it can be used for individual sites as well as across multiple construction projects.

What are the benefits of Nopsa for a construction site?
Nopsa automates site access control, time tracking, and reporting, helping to reduce manual administrative work. Site management has real-time visibility into everyone working on the construction site and access to up-to-date reports for meeting regulatory requirements, such as inspections by the Regional State Administrative Agency and employee reporting to the Finnish Tax Administration.

Why choose Nopsa?
Nopsa is a Finnish solution developed in collaboration with leading construction companies. Our customers particularly value its easy implementation, intuitive user interface, and fast, personal customer support. In addition, the Nopsa reader is certified by Vastuu Group.

Getting Started

How quickly can Nopsa be set up?
A ready-to-use Nopsa Valtti reader is typically delivered to the construction site on the next business day. Once the reader is mounted on the wall and connected to a power supply, Nopsa is ready to use within a minute.

What is required from the customer to set up Nopsa?
To set up the system, we require the basic details of the construction site, including the site name and address, the delivery address, and information about any additional services ordered. A ready-to-use reader is delivered to the site, and the customer installs it in the desired location, either indoors or outdoors.

Is setting up Nopsa difficult?
No. Nopsa is widely praised for its ease of use. The system can be set up without separate user training. Nopsa also includes a dedicated user guide library containing video tutorials and PDF guides covering the system’s key features. If needed, our customer support team is also available to assist during the setup process.

Can I get support after setting up Nopsa?
Yes. Our customer support team is available to assist with both the use of the system and any questions related to the reader after implementation.

Can Nopsa be set up after a project has already started ?
Yes. Nopsa can also be set up on construction sites that are already in progress. However, please note that employee reports for the same reporting month cannot be submitted to the Finnish Tax Administration from two different access control systems.

Construction Site Access Control

How do employees check in at the construction site?
The primary method of checking in is by scanning a Valtti card with a Nopsa reader. These check-ins provide real-time information on everyone currently present at the construction site. Nopsa also supports company-specific RFID cards.

For smaller construction sites and projects with changing work locations, check-ins can also be completed using a mobile device. The Nopsa Pro app is available for both Android and iOS devices. The various check-in methods supported by Nopsa Pro can be found here.

Can I monitor who is on the construction site in real time?
Yes. Nopsa provides real-time visibility into everyone currently on the construction site, including their check-in and check-out records. This helps site management oversee daily operations and supports site safety, for example during emergency evacuations.

Is Nopsa suitable for managing multiple construction sites?
Yes. Nopsa enables the simultaneous management of multiple construction sites. The system includes several user permission levels. For example, site managers can be granted access only to the construction sites they are responsible for.

Can subcontractors also use Nopsa?
Yes. Nopsa can be used by both main contractors and subcontractors. If required, subcontractor supervisors can be granted permissions to manage, for example, the qualification card information of their own employees.

What types of access control devices does Nopsa support?
Nopsa offers both access control readers and a variety of gate solutions to meet the needs and size of different construction sites. These solutions can be tailored for anything from small building sites to large-scale construction and infrastructure projects.

How does access control improve construction site safety?
Access control makes it possible to know who is working on the construction site and when they are present. Up-to-date personnel information supports site safety management, facilitates the handling of exceptional and emergency situations, and helps ensure that only authorized individuals have access to the site.

What happens if there is no internet connection at the construction site?
An internet connection is required for check-in data recorded by the reader to be transferred to the system. If the connection is temporarily unavailable, the data is stored in the reader’s memory until the connection is restored, after which it is automatically transmitted to the server.

Can Nopsa also be used to control access to site storage containers or site cabins?
Yes. Nopsa supports the use of electronic locking systems.

Time Tracking and Personnel Management

How are working hours recorded in Nopsa?
Working hours are recorded automatically when an employee checks in and out using a Valtti card or another compatible RFID card with a Nopsa reader. Working hours can also be recorded manually using the Nopsa Pro app.

Is Nopsa suitable for managing the working hours of subcontractors?
Yes. Nopsa enables the management of both your own employees and subcontractors working on the construction site. All data can be monitored from a single system, even when multiple companies are operating on the same site simultaneously.

Can the system generate working time reports?
Yes. Nopsa includes a variety of working time reports for both companies and accounting firms.

Can working time data be used to support invoicing?
Yes. The working time data stored in the system can be used to review actual hours worked and to support invoicing and cost tracking.

How does Nopsa support personnel management?
Nopsa maintains a personnel register of everyone who has worked on the construction site for Finnish Tax Administration reporting purposes. The personnel register can also be used to manage qualification card information and, for example, the issuance and tracking of keys.

What employee information can be stored in Nopsa?
Nopsa can store the information required to manage construction site personnel and contractors. This includes employee details, employer information, working time records, and the qualifications and identification information required on the construction site.

Can the system manage employee qualifications and training?
Yes. Nopsa allows employee qualification and personal information to be stored and managed. This enables site management to ensure that everyone working on the construction site holds the valid qualifications required for their duties.

How is information for new employees added to the system?
Employee information can be created automatically using a Valtti card and the Vastuu Group interface. Information can also be added manually.

Can personnel information be used for regulatory reporting?
Yes. Nopsa supports compliance with statutory obligations and regulatory reporting for construction sites. Nopsa automatically submits the monthly employee report to the Finnish Tax Administration.

Can Nopsa be integrated with payroll systems?
Yes. Nopsa includes ready-made integrations with several payroll and financial management systems, including Procountor, Netvisor, Fivaldi, Lemonsoft, Tikon, and Jydacom. If your system is not listed above, we can assess the implementation of a new integration.

How is personnel data protected?
User permissions can be restricted based on roles, ensuring that each user only has access to the information relevant to their responsibilities. The processing of personal data complies with applicable data protection and information security requirements.

Regulatory Requirements and Statutory Compliance

How does Nopsa help meet statutory obligations in the construction industry?
Nopsa helps manage the construction industry’s key statutory obligations by bringing together construction site personnel, access control, and site-specific information in a single system. Automated data collection reduces manual administrative work and simplifies personnel monitoring, documentation, and regulatory reporting.

Can Nopsa help meet the requirements of the Finnish Act on the Contractor’s Obligations and Liability?
Yes. If your company has a Vastuu Group Valvoja licence, Nopsa displays up-to-date contractor compliance reports within the system. If a contractor has deficiencies in meeting its obligations under the Act on the Contractor’s Obligations and Liability, Nopsa highlights them using a traffic light indicator based on the severity of the deficiency.

How does Nopsa help with document management?
Site-specific documents can be stored in Nopsa. Subcontractors can also be granted permission to upload construction site documents to a shared document repository.

Is Nopsa compatible with Vastuu Group services?

Occupational Safety and Site Induction

How does Nopsa help improve construction site safety?

Does Nopsa include construction site induction?
Yes. Nopsa offers an electronic site induction module that enables construction site inductions to be completed and documented digitally. Completed inductions are stored in the system, allowing site management to monitor in real time that only inducted personnel are working on the construction site.

Can the site induction be completed before arriving at the construction site?

Yes. Employee qualification information can be stored in Nopsa, allowing site management to easily verify that everyone working on the construction site holds the valid qualifications required for their duties.

Induction records are available to site management within the same system as the access control records. This makes it easy to verify that everyone entering the construction site has completed the required inductions.

Can the induction material be customised for individual construction sites?
Yes. Site-specific material can be added to the induction content.

Can the system notify users about expiring qualifications?
Yes. Nopsa helps monitor the validity of employee qualifications, making it possible to identify expiring qualifications in good time.
